How to keep details in order?

By Antti Haverinen May 10th, 2008

For those, who are professional project managers, managing of details are normal routines. However, I am amazed how this skill is so rare to meet among those, who are working in the field of IT. Maybe this skill isn´t as easy as we used to think of it.

I am a professional project manager. I have used to survive with lots of details in many projects simultaneously. For me, it´s like a natural ability to write to-do-lists and keep my eyes on them.

I organize my daily routines in a way that help me to keep on the track.

  1. In the mornings I do a list for daily activities on the paper.
  2. I use a normal pen when I mark those activities on the paper and give priorities (numbers to them. Some of those to-dos I regard as more important.
  3. I follow the created priority order with great discipline and joy. It´s funny to remain faithful to lists.
  4. When something unusual will happen (everyday there are many occasions), I write it down and I rearrange my priority list. If it will take only few minutes, I do it immediately without marking it my priority list.
  5. If everything goes right direction, I have strike-through all items on the list.
  6. At the end of the day I sketch to-dos for next day giving these only basic details.

Being coordinator is part of my job. I have found these rules useful. Try to adopt those ideas and develop further to your position before it is getting too messy.
